Carleton PIRG is a student funded and directed non-profit organization with a mandate to support
research, education and action on environmental and social justice issues.

The Position
The Administrative and Organizational Development Coordinator will work collaboratively with
the PIRG staff to ensure that the administrative and programming functions and objectives of the
organization are met. The Board of Directors may articulate specific objectives and
responsibilities that fall under the categories in work plans. Additional responsibilities may also
be added in the work plans within the confines of the Collective Agreement governing the
relationship between the employer and bargaining unit members.
Responsibilities:
Administrative:
● Maintenance and upkeep of the office space and equipment;
● Clean and disinfect the office after the end of the each work-day;
● Respond to the needs of volunteers, members and visitors to the office;
● Coordinate administrative and organizational work associated with Fall opt-out period
including communications with the student associations and the university;
Organizational & Board Support
● Coordinate strategic planning, the development of annual goal plans, staff/board
recognition, the preparation of the Annual Report, and research bursaries.
● Coordinate and set up regular/committee meetings of the board, develop meeting agendas
and all supplementary documents, take minutes, and participate in meetings as required;
● Establish and maintain systems that support organizational learning and memory (e.g.,
overall filing systems, archives, operating manuals);;
● Supervise grant and work-study staff as required and/or appropriate;
General Duties:
● Submit timely documentation of work completed via staff reports;
● Communicate with the employer on regular basis and attend meetings when required;
● Participate with other staff and volunteers in the maintenance of regular office hours,
cleaning, maintenance, and improvements;
● Participate in regular staff meetings, performance reviews, and work plan development;
● Acquire training for professional development as appropriate and/or required.
● Support and assist staff and Board of Directors in fundraising/programming/coalitions as
appropriate and/or required (e.g. Speaking Tours, Demonstrations, Radical Frosh
activities, etc.);
● Use consensus processes and practice anti-oppressive policies.
Qualifications:
● Knowledge and skills acquired through a combination of lived experience and paid or
unpaid work experience relevant to this position OR a relevant post-secondary degree is
required.
● Knowledge of services and resources available at Carleton University and the Ottawa
community to support students and diverse groups.
● Familiarity with and comfort navigating the Carleton University campus or similar
campus environment, and the ability to relate to post-secondary students, are essential to
this position.
● Experience working with Google Suits, Microsoft Office and comfort in using the
online-banking system. Experience with social media platforms, mailchimp, and
Squarespace are assets.
● Excellent organizational, team-work, problem-solving and critical thinking skills.
● Excellent written and verbal communication skills are very important to this position.
While English does not need to be your first language, fluency and excellent skills in
using the English language both written and verbal are essential in order to function
effectively on campus and in the Ottawa community and to be able to deliver services and
programs as required. Having a second language is also a desired asset.
● This position requires demonstrated understanding of and commitment to anti-oppression
and anti-racism, and a developed analysis of systemic, structural and interpersonal
oppression from an Intersectional lens.
● An ability to effectively represent the organization in a variety of public forums is
essential.
